NIH Volunteers for the USA Science and Engineering Festival Expo - Oct. 23 and 24, 2010

NIH is bringing our research to the people at the USA Science and Engineering Festival (USASEF) Expo
the weekend of October 23 and 24, 2010, on the National Mall and Freedom Plaza.

We need your help as a volunteer to make this event a success!

Q. What are the USA Science and Engineering Festival and the USASEF Expo?

The Inaugural USA Science & Engineering Festival is the country’s first national science festival and descends on the Washington, D.C. area in October 2010. Opening on October 10 with a concert of amazing science songs performed by over 200 children and adults at the University of Maryland, the Festival promises to be the ultimate multi-cultural, multi-generational and multi-disciplinary celebration of science in the United States.

The culmination of the Festival will be a free, two-day Expo on the National Mall and surrounding areas that will feature over 1500 fun, hands-on science activities and over 50 stage shows and performances on four stages. The Festival is a grassroots collaboration of over 500 of the nation’s leading science organizations.

Q. What is NIH doing at the USASEF Expo and where?

NIH will have two exhibits at two locations at the USASEF on the weekend of Oct 23 and 24. Both exhibits are open to the public from 10:00 am to 5:30 pm. Note that we are one of over 400 exhibitors!

Freedom Plaza Exhibit
We'll have six hands-on activities each day in nine 10' x 10' booths on Freedom Plaza near the corner of Pennsylvania Ave, NW and 14th St, NW.

National Mall Exhibit
We will have 10 hands-on activities and 4 stage shows each day at our 20' x 100' tent on the National Mall near the National Air and Space Museum. Individual ICs are running the activities and shows.

Q. What will NIH SciFest volunteers do?

NIH volunteers will provide general logistical support to the two NIH exhibits during the festival. Each volunteer will be assigned to a specific location and time slot. Duties will include:

Set up and Take down
Assist IC staff in morning and evening as they set-up and tack down the exhibits. Help set up, take down, and clean up for all the variously scheduled activities. This may involve moving heavy equipment and supplies.

At-Large Exhibit Support
Roam the exhibit area to check on the booths and serve as “runners” if folks need items.
Run errand (get supplies in storage or off site on emergency basis - etc.)
Crowd support – gather people for presentations, move them closer into the tent to make more space, move large crowd to less crowded areas
Welcome and greet folks, tell folks about upcoming “activities” at various booths and help to direct them
Helping presenters with questions related to the crowd, supplies, storage locations


At-Large Crowd Support
Work the crowds and help direct folks to activities and spread the crowd around to the various activities and booths.

NIH Mini Stage Support
Help work the crowds and direct folks to presentations/shows on the "mini stage" in the NIH Mall tent.

Q. What is the time commitment for volunteering?

Volunteers will commit to one of the following four-hour shifts on one day (Saturday or Sunday) at one location (Freedom Plaza or the Mall). Volunteers must also attend a one-hour orientation session on main campus between Oct 14 and 21. Exact dates and locations for orientation session are TBD.

Saturday, October 23, Volunteer Shifts
7:30 am - 11:30 am
11:00 am - 3:00 pm
2:30 pm - 6:30 pm

Sunday, October 24, Volunteer Shifts
8:00 am - 12:00 pm
11:30 am - 3:30 pm
3:00 pm - 7:00 pm

Remember that the USASEF is open to the public each day from 10:00 am to 5:30 pm.

Q. Is this official duty, and can I receive work compensation for volunteering?

This is an officially sanctioned and recognized NIH activity. Depending on your position, you may be compensated for your efforts. OHR has a fact sheet for managers and employees when overtime or compensatory time is being considered. Your compensation will be determined by your IC and your job specifics.

Q. How will I get to the USASEF Expo, and what should I bring?

We strongly suggest taking public transportation to Freedom Plaza or the National Mall. Freedom Plaza is close to Metro Center. Out tent on the Mall is near L'Enfant Plaza and the Smithsonian stations.
NOTE that Metro trains start running at 7:00 am on weekends.

Please bring appropriate clothes, smart shoes, and a good attitude. Depending on your shift time, you may also want to pack a snack and bring water. We hope to have water for volunteers but can't make any promises now.

We are also working to have NIH T-shirts for all volunteers.
